Privacy Policy
What this website collects, how HiCARE Services uses it, and how information is handled during a care and disability services consulting engagement.
1. Overview
HiCARE Services (“HiCARE,” “we,” “us”) is a Minnesota-based consulting practice supporting assisted living, home care, and home and community-based services providers. This Privacy Policy explains what information this website collects, how we use it, and the choices available to you.
This page is maintained by HiCARE Services to answer common privacy questions about our website and consulting practice. It is app-owned content, not an independent audit, certification, or legal opinion.
2. Information we collect
We collect only what you choose to give us through this website, plus limited technical information generated automatically when a browser loads a page.
- Contact details you submit: name, organization, email address, and phone number.
- Message content: the service category you select and anything you describe about your community, license type, or situation.
- Resource requests: the email address and optional phone number you provide when requesting a free checklist.
- Technical data: IP address, browser type, device type, referring page, and pages viewed, generated by standard web server and hosting logs.
3. Resident, patient, and client data
This website is not a channel for protected health information. Please do not submit resident names, medical records, incident reports, or any individually identifiable health information through the contact or resource forms.
During a consulting engagement we may need access to provider records that contain protected health information. When that is the case, access is governed by a separate written services agreement and, where required, a business associate agreement executed before any such information is shared. We limit access to what the engagement requires and return or destroy materials at its conclusion in accordance with that agreement.
4. How we use information
- To respond to your inquiry and schedule an initial consultation.
- To deliver the free resource or checklist you requested.
- To prepare a proposal or scope of work for consulting services.
- To maintain records of client communications and engagement history.
- To operate, secure, and improve this website.
- To meet legal, tax, professional, or contractual obligations.
5. Email, phone, and SMS communications
Our contact page prepares a message in your own email client or text messaging app. When you use those buttons, the message is sent from your account through your own email or mobile carrier, subject to their terms and privacy practices.
If you provide a phone number, you agree we may contact you by phone or text about your inquiry. Message and data rates may apply. You can opt out of text messages at any time by replying STOP or telling us in any reply, and you can ask to be removed from email follow-up at any time.
7. Hosting and subprocessors
This website is hosted on managed cloud infrastructure, and form submissions are stored in a managed database operated by our hosting provider. These vendors process data on our instruction and are bound by their own security and confidentiality obligations. Data is stored in the United States.
8. Retention and deletion
Website inquiries and resource requests are retained for as long as needed to respond and, if an engagement follows, for the period required by our professional and contractual record-keeping obligations. Records that do not lead to an engagement are removed on a periodic basis or sooner on request.
To request deletion of information you submitted through this site, email us and identify the address or phone number used. We will confirm the request and act on it unless we are required to retain the record.
9. Your choices and rights
You may request a copy of the information you submitted, ask us to correct it, ask us to delete it, or ask us to stop contacting you. Minnesota residents and residents of other states with applicable consumer privacy laws may have additional rights under those laws; we honor verified requests regardless of where you live rather than tracking eligibility state by state.
11. Security
Traffic to this website is encrypted in transit. Stored submissions sit behind access controls on managed infrastructure, and access is limited to HiCARE personnel who need it to respond to inquiries. No method of transmission or storage is completely secure, and we do not claim it is. Do not send sensitive health or financial information through this website.
12. Children
This website is intended for care providers and business contacts. It is not directed to children, and we do not knowingly collect information from anyone under 13.
13. Changes to this policy
We may update this policy as our practice or tooling changes. The revision date at the top of this page reflects the most recent update. Material changes will be reflected here before they take effect.
